The café in Ahlmannsparken has a very central location in the heart of Ahlmannsparken. This location is of crucial importance for all users of Ahlmannsparken.
Sønderborg Municipality wishes to support the café's activities in the best possible way in a daily and close collaboration. It is also Sønderborg Municipality's intention and ambition that the café serves as a gathering place for, among other things, events for both internal and external stakeholders.

Sønderborg Municipality hereby offers the lease of the café in Ahlmannsparken with a view to taking over as of August 1, 2025, as the current tenant resigns at the end of July.
The café operation is offered for a period of 4 years with an option for up to 2 x 2-year extensions, and the contract is mutually non-cancellable for one year after the takeover.

Ahlmannsparken is beautifully located in the middle of Gråsten and is used by many different user groups, such as various associations and clubs.
Customer base
The daily potential customer base is currently estimated at approximately 200 people visiting Ahlmannsparken on weekdays and approximately 500 on Saturdays and Sundays. However, the weekend visitor number will fluctuate greatly depending on events.
Business opportunities
Daily sales in the cafe to customers coming from outside.
Daily sale of lunch packages to Ahlmannsparken employees.
Requisition sales for meeting activities in Ahlmannsparken.
Sales in connection with events, etc. There will be approximately 100 annual events/lectures/concerts, primarily evenings and weekends, where the store is open. Agreements on attendance at events are made in close cooperation between the parties and can be arranged six months in advance in relation to Ahlmannsparken's general event planning.
- Objectives for the lease

Sønderborg Municipality has formulated a number of objectives for the operation of the Café:
- The café should be a natural meeting and gathering place in Ahlmannsparken and an integrated part of the environment in Ahlmannsparken.
- The café must be attractive in itself, and offer a meal concept that is suitable for creating everyday life during the day, but which can also function in connection with meeting activities and larger events.
- The café should, as far as possible, have a scope in its concept that can embrace Ahlmannsparken's users. This can be achieved, for example, through input from an executive committee or similar consisting of users of Ahlmannsparken, which the lessee can choose to establish.
Sønderborg Municipality has a high ambition for a well-functioning collaboration with the lessee, based on the common interest in creating the best possible development in Ahlmannsparken. Therefore, a set of principles for the collaboration between the lessee and Sønderborg Municipality has been formulated. The principles appear from Appendix 2:Cooperation principles

There are already many cultural activities in Ahlmannsparken, and it is a continuing ambition that Ahlmannsparken has a large and varied range of cultural activities. Here the lessee has the opportunity to play an important role in creating life in the café and in other ways developing and putting their own mark on the café.
Sønderborg Municipality is therefore looking for a tenant and active partner for the café in Ahlmannsparken, who sees great opportunities in being part of an attractive cultural environment.
The tenant must be aware of the Café's special role in Ahlmannsparken, and see themselves as a natural part of the cultural community that creates life in Ahlmannsparken.
The tenant of the Café must see potential in being part of a cultural community and have their own ideas and ambitions about how this can be expressed in the café.
The tenant generally has an action-oriented and collaborative approach.
Sønderborg Municipality wants bidders to present one or more ideas in their bid materials on how they, as a tenant, will contribute to creating life in Ahlmannsparken. This also applies to the meal concept itself, where creative suggestions will be well received. The meal concept should initially support the goal of the café being a lively place both during the day and for meetings and activities.

Saturday – Sunday 09.00 – 15.00

The tenderer must state a monthly rental fee in the tender form, Appendix 3.
The tenant is entitled and obliged to use containers for storing waste. Guidelines for the storage and placement of containers are set by the Municipality of Sønderborg.

The lease contract will be concluded when the winner of the tender has been found. The lease contract is attached as Appendix 1.
- Information and material to be submitted with the offer

Offers must include the following:
Tender form (tenderer must use Appendix 3).The offer form must contain the offeror's bid for the lease fee, a description of the café concept and a description of the food concept.
Declaration of unpaid debt to the public sector (to be completed on attached appendix 4).
The bidder must solemnly declare that the person in question or any other person who is intended to manage the café has no unpaid, overdue debt to the public sector.
The submitted offer is binding on the offeror until 3 months after the expiry of the offer deadline, unless the offer is finally rejected by Sønderborg Municipality.

The selection process

After the deadline for submission of tenders, Sønderborg Municipality will assess all tenders in terms of content and formalities and expects to select between 1 - 3 for a tender review and negotiation round based on the criteria in section 10.
Sønderborg Municipality expects to have selected a tenant in week 25 - 2025.
Sønderborg Municipality reserves the right to cancel the tender process entirely or extend the schedule at any time. Cancellation or extension may be relevant, for example, if Sønderborg Municipality assesses that no bidders have submitted acceptable offers.
It should also be emphasized that knowledge of the bidder's financial circumstances, budget, etc. in connection with the tender does not entail any form of responsibility for the profitability of the café operation or anything else, just as the information in the tender material about any costs, number of visitors, etc. is provided without obligation.
